Job Description:

The Executive Director reports to the Board of Directors through the Chairman of the Board. The Executive Director is responsible for all aspects of the organization’s programming, data collection and evaluation, fundraising, finances and operations in accordance with the strategic goals and objectives of the organization as established by the Board. They are also responsible for compliance with the national organization’s Total Quality System and other criteria to ensure continued accreditation by the national organization. The Executive Director is responsible for securing funding for all components of CISNCAP’s operations from various sources: governmental agencies, private foundations and individual contributors. The Executive Director is also responsible for outreach to DC Public Schools (DCPS), various governmental agencies, foundations, individuals, community partners, volunteers, the national CIS organization, the Board and its committees.

Strategic Goals & Objectives Inform and implement the organization’s strategic plan as adopted by the Board of Directors

Build on CISNCAP’s success and reputation within DCPS, with community leaders, community partners and fundersBuild relationships with other organizations whose missions support schools and at-risk students to maximize benefits to the students.

Serve as the liaison to grantors, funders and donors, ensuring that they are appropriately engaged, recognized and informed.

Ensure that CISNCAP strategy and vision are aligned for future growth by working with the Board of Directors to develop and implement the organization’s strategic and business plans.

Programs & Services Maintain and grow effective and collaborative relationships with DCPS and other relevant parties by continuing to educate key stakeholders on the benefits of CISNCAP’s people, programs and services.

Provide leadership and support within the schools CISNCAP serves by deepening relationships and coordinating efforts with the appropriate school staff.

Ensure the effective delivery of CISNCAP programs and services in accordance with the school’s leadership’s expectations.

Ensure coordination and delivery of all student and family services.

Be visible to CISNCAP’s partner schools and make site visits.

Manage the collection and analysis of program data.

Development & Public Relations Develop and implement a strategy to broaden and diversify the base of CISNCAP’s financial support and sustainability.

Maintain and build strong relationships with public and private donors, corporate sponsors, individual contributors and community partners.

Ensure CISNCAP has sustainable resources to carry out its mission.

Serve as the face and voice of CISNCAP with funders, schools, community organizations and the media.

Develop or oversee development of materials that can be used to attract funding.

Oversee process to recruit, train, manage and recognize volunteers to expand the scope of the program.

Generate annual and interim reports that demonstrate progress toward implementing the strategic plan.

Overall management of the staff; although each school is a unique entity, it is important that CISNCAP operates as a unified organization.

Exercise oversight of the accounting and financial functions of the organization, including audits, financial reporting, budgeting and cash flow projections.

Ensure that all employees are hired, managed, and evaluated in accordance with relevant laws, regulations, and CISNCAP’s policies.

Improve and maintain management information systems.

Ensure compliance with the organization’s Record Retention Policy and ensure security of relevant documents.

Maintain and revise as needed the organization’s policies and procedures.

Board of Directors & Board Committee Relations Engage with the Board of Directors and committees to support CISNCAP’s tax-exempt purpose throughout the year.

Implement governance best practices, including the Conflict of Interest policy for Board members and key staff.

Track and report CISNCAP performance against objectives and advise the Board on strategic means to improve performance.

CIS Affiliate Core Functions Providing and/or brokering quality youth programming and services

Developing and managing community partnerships

Managing, expanding and developing CISNCAP sites

Data collection, evaluation and reporting

Marketing and public relations

Qualifications Master’s Degree preferred in social sciences, education or related field

A minimum of 15 years of progressive professional experience with at least 5 of those years in a senior managerial position

Excellent oral and written communication skills, including the ability to interact with individuals from various fields

Successful history of fundraising, primarily in the area of grants

Business experience with regard to the financial, human resources, technology, and other operational areas of an organization

Experience with marketing and social media to raise the profile of an organization

Commitment to helping the most vulnerable at-risk children in DC

Finance, Operations and Grants Support Assistant The FOG assistant assists the senior team with financial, operational, programmatic and administrative support.

The FOG assistant supports the Director of Finance and Operations in key aspect of monthly book keeping and grant invoicing. Responsibilities include managing IT and office operations for a small central office of five personnel. The FOG assistant supports the school-based programs by helping with procurement, spending and reporting for th e thirteen partner schools. The position assists the senior team with regular grant reporting and provides some support t o the Executive Director and Board of Directors as needed.

Finance Support Dir. Finance and Ops in monthly financial functions (account reconciliations, journal entries, etc.) with data entry in QuickBooks and Excel

Support Dir. Finance and Ops in monthly/quarterly invoicing for grants (documentation of expenses)

Support preparation for annual independent audit

Operations Collect, track and reconcile monthly receipts for credit card spending (site coordinators and senior staff)

Order supplies and contract with vendors for all schools

Order supplies for main office

Serve as point of contact for IT hardware, software and connectivity issues

Manage IT contractor and IT purchases (computers and phones)

Grants Support Track deadlines for grant reporting for senior team and assist with report submissions

Support financial reporting with documentation

Support data reporting using CISDM (CIS cloud-based data tracking system)

Administration Support the Executive Director as needed

Assist with preparation for quarterly Board of Director meetings

Assist with annual file archiving

Other duties assigned by Executive Director as required

Qualifications include:

Bachelor’s degree in business, accounting or related field

2-3 years advanced experience with Excel spreadsheets, QuickBooks experience preferred

Experience with data base and/or data management systems

Experience in office environment

Ability to establish and maintain working relationships with co-workers and the public

The full-time Site Coordinator is responsible for providing school-wide drop-out prevention and intervention plans including case management and related services at Eastern High School in the District of Columbia. Responsibilities include delivery of overall planning and managing of Communities In Schools operations at the assigned school, and the implementation of the Communities In Schools model of integrated student services with Tier 1, 2 and 3 supports. The site coordinator partners with school leadership and members of the CIS team, to ensure alignment of the CIS school support plan with the school’s strategic vision, and incorporation of leaders’ knowledge and expertise. In addition, the site coordinator supports the local office by participating in office events, providing input to budgets, and submitting required documentation. This full-time position reports to the Director of Programs and Data. All site coordinators carry a caseload of case-managed students.

Student Support and Case Management Services Conduct thorough needs assessment at assigned school, and collaborate with school staff to prioritize student needs.

Develop a school support plan focusing on identified student needs, risk factors, and assets. The plan will include measurable objectives, as well as procedures for delivering school-wide services, targeted and sustained interventions and services, the monitoring and adjustment of services, and the evaluation and reporting of progress and outcomes.

Serve on school-wide teams (Attendance/SOC/Kid Talk/SST/MDT) to support the plans for specific students, including plan development, monitoring, review and evaluation.

Coordinate and manage student referrals from staff throughout the building, and target additional students, as appropriate and/or necessary.

Develop a caseload of students who will be connected with Tier II and III supports as needed. Provide case management and coordinate delivery of Tier II and III supports, engaging in the following best practices: Assessment

Case plan development (SMART goals)

Individual consultations

Classroom push-ins

Home contacts

Review of current services

Referrals and linkages

Communication with key parties (stakeholders)

Meeting facilitation

Progress monitoring

Documentation

Develop and implement Tier I supports, focusing on prevention, enrichment and support for school culture and climate.

Develop partnerships with neighborhood organizations, local faith-based entities, businesses and corporations to support the school support plan and the Tier I, II and III supports.

Support and coordinate robust programming for students during out of school time.

Model and utilize best practices for family engagement to increase parent involvement and connectivity, and to foster a broad sense of school community.

Data Collection/Evaluation – Administration Ensure that all case management and other student support activities are documented.

Ensure that student case files and digital records (in CISDM, the CIS Data Management System) are updated weekly.

Gather, enter and analyze student and family data for ongoing individual and programmatic evaluations.

Provide requested student data at specified times to internal and external stakeholders, including funders and District and other monitoring agencies.

Follow local office procedures for ordering supplies and reporting expenses.

Monitor the implementation of the school’s annual school support plan, particularly as it relates to students, and provide monthly reports to Principal and the Director of Program and Data.

Relationship-Building Provide regular feedback to school staff, DCPS central administration, the CIS team and other resource agencies involved in collaborative services. Create and distribute program updates, newsletters or other appropriate communication vehicles about student and program needs/accomplishments to volunteers and community partners.

Present the CIS mission, vision and initiatives within the community. Provide networking opportunities for volunteers and community partners. Provide leadership in securing community resources beneficial to improving students’ academic, emotional and physical needs.

Work with members of the city-wide CIS team to share resources, best practices, and expertise

Qualifications Include: Bachelor’s degree (master’s degree preferred) in education, social work, school counseling, public health or related field.

Minimum of two years’ experience with case management

Ability to establish and maintain working relationships with co-workers and the public

Knowledge of child-serving systems (child welfare, mental health, criminal justice, parks and recreation)

Excellent oral and written communication skills

Ability to manage multiple projects

Experience developing and evaluating programs

Excellent leadership and interpersonal skills

Experience working with, or for, DCPS is preferred

Experience with data management systems and data tracking

Passion for working with students and schools
