Field Document Control Clerk

Job Description:

Core Competencies:

* Must have a strong knowledge of Microsoft Office (Excel, Word, Outlook, etc)

* Strong written and verbal communication skills

* Experience with E-Rooms, FTP sites and document management systems

* Strong attention to detail, schedule oriented, assertive

* Highly organized

* Experience with handling vendor and contractor submittals

* Experience with RFI handling, processing and tracking

* Experience with drawing and document transmittals and lists

* Experience with reproduction and printing

* Experience with file organization

* Experience with document tracking and expediting

* Other administrative duties as requested by the project

* Job Responsibilities:

* Organize project folder and documents so the project team can find files in a timely manner

* Aware of budget hours for Document Controls on project

* Assist PM and PE in facilitating the project team's turnaround of vendor drawings, RFI's, and other documents

* Know the deadline for the team to complete RFI's and Vendor drawing reviews

* Basic understanding of the project

* Know document control requirement for project according to project execution manual

* Maintain all logs for the project (ie. drawing, transmittal, RFI, and vendor drawing logs)

* Know duration of answering RFI's and vendor drawing reviews

* Know how to properly run River's Document Management System for the transmittal process to assure efficient transmittal logs

* Responsible for all documentation as needed on the project

* Communicate with the PE to notify when vendor drawing packages are arriving for review

* Coordinate with the PE on who will be reviewing vendor drawing packages

* Assist PM in updating status of RFI's and vendor drawings

* Distribute logs (RFI & vendor drawing) to PM and APM to notify them of outstanding items

* Print and stamp (as required) incoming documents and distribute them to the proper team members after communicating to the PM to assure the proper allocation of documents

* Scan reviewed/filled-in documents and itemize them in the proper folder on the project drive

* Archive all issued documents, drawings, and communication

* Assure clerical correctness of design drawings (ie. border, title block, date, drawing number, description, rev number, etc.) before issuing to client

* Assure clerical correctness of all other documents (ie. Formal transmittals, RFI's, CO's, ECN's, Logs, etc.) before issuing to client

* Assure design drawings are plotted to the neatest PDF's for the client

* This position is located in Cushing, OK
